JOB TITLE:  Operations Manager

Dance Kaleidoscope, Indiana’s premier contemporary dance company, is seeking a dynamic and detail-oriented Operations Manager to play a key role in the success of our organization. As the Operations Manager, you will be at the heart of Dance Kaleidoscope’s day-to-day operations, ensuring seamless execution of everything from ticketing and audience services to office administration. You’ll collaborate across departments—marketing, development, finance, and production—to enhance efficiency, drive organizational growth, and support our mission of artistic excellence.

Whether it’s streamlining internal processes, managing bills and deposits in QuickBooks, supporting marketing efforts, or ensuring our performances run smoothly, no two days are the same. You’ll gain hands-on experience in all aspects of arts administration, working alongside a passionate team dedicated to bringing world-class dance to the community.

Ticketing and Box Office

Serve as point person for ticket sales both in-house and at partner venues.  Support subscription series by processing requests to ensure the best customer experience. Manage the front of the house with venue staff. Ensure accurate and ongoing tracking of audience data and ticket sales reports.  

Volunteer and Intern Program 

Develop strategies to create a volunteer program including recruiting and training volunteers and providing support and supervision.  Work with the Director of Community Engagement to recognize volunteers and evaluate volunteer management practices and the impact of volunteers.

General Operations and Facilities Management

Oversee cleaning and maintenance performed by vendors. Ensure the studio is a safe, clean and welcoming environment for all. Be proactive in anticipating future needs especially as it relates to budgeting.

Manage the studio rental program including preparing rental agreements and tracking payments.  Suggest ways to grow the rental program. 

Annually lead staff through updated safety plans and other important information.  

Field incoming calls/emails/correspondence, support the team with shipping and mailing needs.

Order and organize office and studio supplies. Maintain office equipment as needed. Maintain staff list, emergency contacts, board rosters, annual board contracts and contact information.

Basic Bookkeeping includes recording and processing day-to-day financial transactions using Quickbooks Online. (Deposits, bills, credit cards and checks).  Assist with processing year end tax receipts and attached grant contracts to deposits. 

Contract management includes preparing contracts by updating/editing template contracts for guest artists and collecting new hire paperwork. Coordinate the signing process, ensuring all parties sign. Keep detailed records and set up payment schedules as needed. 

Communications, Marketing and Events

Assist Director of Community Engagement with marketing tasks such as coordinating with partner organizations to manage program ad trades and group sales. Assist with management of special events as needed. 

Other duties as assigned.

Technical Skills:

  • Proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Calendar, etc.)
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, etc.)
  • Experience with QuickBooks Online Strong knowledge of budgeting, financial reporting, and expense management preferred. 
  • Familiarity with CRM systems and/or VBO. 
  • Ability to analyze data and create reports for decision-making preferred. 

Soft Skills & Leadership Abilities:

  • Strong verbal communication skills and ability to provide excellent customer service 
  • Strong organizational and time-management skills and ability to multitask and prioritize responsibilities effectively
  • Ability to work both independently and as part of a team
  • Attention to detail and accuracy in financial and operational tasks
  • Experience in process improvement and efficiency optimization, preferred
  • Ability to manage vendors, contracts, and office logistics
  • Experience supervising volunteers, preferred

Compensation and Benefits:

  • Full time exempt position: year round, 40 hour work week on-site position
  • Starting salary $45,500

    Other:  This position, which is an integral part of the management team, reports to the Executive Director in the areas of operations, bookkeeping and facilities management and reports to the Director of Community Engagement for work related to ticketing, customer service, marketing and volunteer management.
